Digital Operations Coordinator - Outside IR35
Digital Operations Coordinator
London (Victoria) · Hybrid, 3 days/week in-office · Full-time
Ever tried to make sense of a broken process, spot the one wrong number in a spreadsheet, or turn a messy stakeholder request into something a dev team can actually build? If that sounds like your idea of a satisfying Tuesday, keep reading - we might have your next role.
We're looking for a Digital Operations Coordinator to join the team working behind the scenes on the digital experience for some of the world's best-known events, run under one of the world's largest global information services and events groups. Think delegate portals, registration journeys, internal systems and onsite tech - all needing to work flawlessly for audiences who don't have time for a bad experience.
This isn't your typical "coordinator" role
Despite the title, this isn't primarily admin support - it's a systems and process-focused role at the heart of how we deliver great digital experiences. You'll join a five-person Digital Operations team, working across both our Marketing and FinTech portfolios rather than being tied to one brand. No two weeks look the same.
You'll be the person who:
- Gathers and documents requirements for projects and system improvements
- Tests tickets, signs them off, and knows the difference between "almost right" and "actually right"
- Spots the error, the gap, or the edge case before anyone else does
- Keeps documentation, guides and templates genuinely useful - not just up to date
- Maps out user journeys and processes so they make sense to everyone, not just you
- Gathers feedback from stakeholders and event delegates, and turns it into insight
- Keeps Digital Specialists, Senior Managers and Heads of Digital Operations in the loop - flagging risks before they become problems
- Gets stuck in on-site at events, taking on a customer-facing role when it counts
What we're really looking for
Here's the honest bit: we care far more about how you work than what's on your CV. We can teach the systems. What we can't teach is judgement, ownership and an eye for detail. So if you can say yes to most of the below, we want to hear from you:
- You're the one people trust to catch mistakes before they go live
- You take ownership of tasks without needing to be chased
- You communicate clearly - and proactively - especially when something's off track
- You're organised enough to juggle multiple projects, teams and deadlines at once
- You're genuinely curious about systems, process improvement or digital delivery
- Testing, QA or project-support experience is a bonus, not a requirement
You do not need direct UX experience. We've seen this role suit people coming from Project Coordination, PMO, Operations, Data, Project Support, Junior Business Analysis, or Administration with a strong systems or process-improvement bent. If you've ever been the department's go-to for "can you just check this before it goes out," you already have the instinct we're after.
Good to have (but we'll help you get there)
- Comfortable in the Microsoft 365 world - Outlook, Excel, Word, OneDrive, SharePoint
- Jira or Salesforce experience is a plus
- Familiarity with Teams or Monday.com is useful, not essential
- Not a highly technical role - but you should be comfortable enough with systems to follow a technical conversation and hold your own in it
Life in the team
- Hybrid working - 3 days a week from our London office near Victoria
- A close-knit, five-person team where your input is genuinely heard
- Exposure to global, brand-name events across marketing and fintech
- The chance to travel to events and see the work you support come to life on-site
- Real variety - no two projects, brands or weeks are quite the same
Ready to apply?
If you're detail-obsessed, calm under pressure, and energised by making things run better - we'd love to see your application. Direct UX experience isn't required; the right mindset is.
