Damage Claims Agent - Job Description
Position Overview
The Damage Claims Agent is responsible for managing the full lifecycle of damage-related claims-from initial investigation through recovery. This role ensures timely, accurate evaluation of incidents, supports settlement negotiations, provides guidance on legal considerations, and oversees the financial recovery process. The ideal candidate is analytical, organized, and skilled in communication and negotiation.



Key Responsibilities
1. Claim Investigation

  • Analyze claim data, incident details, field reports, and documentation to determine cause and responsibility.
  • Evaluate available evidence to decide whether to advance, deny, or escalate a claim.
  • Collaborate with internal teams, field personnel, and external parties to ensure accurate and complete fact‑finding.

2. Claim Settlement

  • Prepare and submit claims with supporting documentation (e.g., photos, reports, invoices, correspondence) to initiate processing.
  • Determine whether claims should be managed internally or sent to a third‑party vendor for handling.
  • Lead or support settlement negotiations to secure fair and timely resolution of claims.
  • Communicate settlement outcomes, next steps, and required follow‑up actions to relevant stakeholders.

3. Legal Support

  • Provide guidance on applicable statutes of limitations to ensure timely and compliant handling of claims.
  • Draft and issue release agreements to support dispute resolution and finalize settlements.
  • Collaborate with legal teams or external counsel to mitigate risk and ensure adherence to legal and regulatory requirements.
  • Assist in preparing documentation or summaries required for litigation or escalated disputes.

4. Claim Recovery

  • Manage invoicing and collections efforts to recover costs associated with damages.
  • Track claim financials in the organization's ERP system to ensure accuracy, transparency, and timely reporting.
  • Monitor outstanding balances, follow up on overdue payments, and escalate collection issues when necessary.
  • Maintain accountability throughout the claims process by documenting actions, decisions, and financial outcomes.


Required Skills & Qualifications

  • Strong analytical and problem‑solving abilities.
  • Effective written and verbal communication skills.
  • Experience with negotiation and conflict resolution.
  • Ability to read, interpret, and apply legal or policy requirements.
  • Familiarity with ERP systems and basic financial tracking.
  • Detail‑oriented with strong organizational skills.
  • Ability to manage multiple claims simultaneously in a fast‑paced environment.


Preferred Qualifications

  • Experience in claims handling, damage recovery, insurance, legal support, or related fields.
  • Knowledge of industry‑specific regulations or construction/utility/fiber operations (if applicable).
  • Proficiency with document management systems and claims software.
