Marketing Business Operations Specialist
We're seeking a strategic operations specialist to help marketing teams work smarter and more collaboratively. This role focuses on designing and implementing scalable systems using Jira and Confluence, enabling teams to adopt these tools effectively and manage them independently over time.
You'll lead change management efforts, facilitate stakeholder discovery, build intuitive workflows, and ensure seamless handoffs that empower teams to own their systems long-term.
Key Responsibilities
- Collaborate with marketing stakeholders to gather requirements and configure Jira projects and Confluence spaces tailored to team workflows.
- Drive tool adoption through documentation, playbooks, training sessions, and stakeholder workshops.
- Build Jira projects with custom workflows, dashboards, automations, and reporting structures that support scalability and usability.
- Establish Confluence spaces for documentation, knowledge sharing, and project tracking.
- Create reusable templates and toolkits to help other teams replicate successful setups.
- Guide teams through the transition to Jira/Confluence, promoting best practices and consistent usage.
- Ensure successful handoff of systems to teams, enabling long-term ownership and evolution.
- Identify opportunities to streamline operations and recommend integrations or plugins that enhance collaboration.
- Provide leadership with dashboards, reports, and visualizations that highlight dependencies, risks, and progress.
- Advocate for consistent tool usage across teams by sharing success stories and standardizing practices.
Qualifications
- Experience partnering with senior leadership to translate operational needs into scalable solutions.
- Skilled in conducting discovery sessions and designing Jira workflows and Confluence spaces that drive adoption.
- Deep expertise in Jira and Confluence, including custom workflows, integrations, and scalable structures.
- Background in enabling operational processes for marketing or go-to-market teams, with a focus on change management.
- Proven ability to build systems that are successfully transitioned to new owners for long-term sustainability.
- Strong communication and facilitation skills, with the ability to train and influence stakeholders across levels.
- Comfortable navigating matrixed environments and bringing structure to ambiguity.
Preferred Experience
- Familiarity with SaaS environments.
- Understanding of marketing operations workflows (e.g., campaign planning, product launches, content production).
- Exposure to Agile, Scrum, or Kanban methodologies and ability to translate them into practical workflows.
- Certifications in project management or change management are a plus.
